Who should be involved with implementation?

You can find a list of who should be on each implementation call by navigating to each training overview. That being said, we recommend forming a core implementation team of 2-5 staff members to oversee and manage launching the platform. This core team should also attend every training call. We recommend including the following on some or all of the calls:

  • Student Affairs/Activities representative(s)
  • Project Manager(s)
  • IT representative(s) - It is important for technical folks to be included in the kick-off call, first training session, and any technical calls with our development team.
  • Marketing representative(s) - If Marketing is involved in implementation, they are specifically helpful for the kick-off call, first training session and fourth training session as these sessions will cover a lot of branding and customization options. This team may also be involved with promoting the platform to students. This Marketing Kit is a helpful resource to see how other institutions have promoted their platforms.
  • Student Leader/Ambassador(s) - We occasionally see a student representative (often from Student Government) involved with implementation as they will be heavily involved in the platform and help to create buy-in.

How long does it take to implement CampusGroups?

An average implementation takes 8 to 10 weeks but can be done in less than 6. Implementations can take longer or be expedited depending on a combination of factors: what you would like ready for launch, how much work you are able to put into the platform and what integrations you need set up.  Integrations are typically the biggest roadblock and some take the longer than others to set up.

We typically recommend one training session per week so that you can work on tasks between calls. If you are on a tight deadline, we recommend a phased approach that will include just launching the priorities during Phase 1 (e.g. groups, events, email, mobile app, feed, etc.) and launching additional features post-launch during Phase 2 (e.g. budgeting, tracks and checklists, service hours, etc.). Additionally, we do offer an on-sight implementation that will help launch even quicker.

When should we plan to launch the platform to our students?

It is up to you! If possible, we do recommend a "soft launch" to a small group of students or groups ahead of your full launch. That being said, we recommend considering these important milestones to aim for:

  • Beginning of semester
  • Group Registration and Re-Registration
  • Traditions
  • Orientation
  • Large campus-wide events/activities
  • Student Leadership Retreat
  • Virtual Involvement Fair

How much 'homework' will be given to us?

After each session, the implementation team can navigate to Admin > Settings > Platform Implementation to find a list of tasks to complete after each training session. It is difficult to recommend how much time the implementation team will need to be put into the platform as this varies by campus depending on the size and scope of your implementation. That being said, outside of technical pieces, we would recommend spending at least 5 hours after each training session to revisit the checklist and work on checking off completed tasks. Many of these tasks will be started during the sessions with your Implementation Manager. Once you are able to check off all of the items, you will be ready to launch the platform.

When should we schedule the training calls?

You can either schedule each training session ahead of time or schedule them after each call. Scheduling all calls ahead of time is recommended if your campus has a hard deadline to have the platform launched. This will allow you to block out time in advance for everyone involved to have a dedicated space to focus on how to learn and navigate how our product and features work. On the other hand, scheduling as you go provides a little more flexibility within your calendar. We understand that schedules/calendars are busy so we give you the opportunity to schedule a training call at your own convenience.
